Business systems
ERP vs CRM vs BOS: which does your business need?
Plain-English guide to ERP, CRM, BOS, HRM and other business systems, what each one does and how to choose the right one for your organisation.
Software companies love three-letter names: ERP, CRM, HRM, BPM, DMS, BOS. If you run a business, all you really want to know is: which one solves my problem? Here is a plain-English guide.
CRM: Customer Relationship Management
What it does: keeps track of every customer and every potential customer: who they are, what you discussed, what you quoted and when to follow up.
You need it if: leads get forgotten, follow-ups depend on someone’s memory, or you can’t see which salesperson is closing deals.
Typical features: leads pipeline, customer history and notes, follow-up reminders by SMS or email, quotes, and sales reports.
ERP: Enterprise Resource Planning
What it does: connects the departments of a larger organisation (purchasing, inventory, finance, HR and operations) so everyone works from the same data.
You need it if: you have several departments or branches, and each keeps its own spreadsheets that never agree.
Typical features: purchasing and suppliers, inventory across warehouses, accounts and budgets, approvals, and role-based access with an audit trail.
BOS: Business Operating System
What it does: a simpler, all-in-one system for growing small and medium businesses. It brings sales, stock, staff, tasks, money and reports together on one owner dashboard.
You need it if: you’ve outgrown notebooks and WhatsApp groups, but a full ERP feels too big.
Typical features: owner dashboard with daily figures, sales and stock, expenses, staff tasks and approvals, and reports by branch.
HRM: Human Resource Management
What it does: manages staff records, contracts, leave, attendance and payroll, including Kenyan statutory deductions.
You need it if: payroll takes days, leave is tracked on paper, or you worry about getting deductions wrong.
BPM: Business Process Management
What it does: turns paper forms and email chains into digital workflows with clear steps, owners and deadlines.
You need it if: requests and approvals get stuck in inboxes and nobody knows who is holding them up.
DMS: Document Management System
What it does: stores documents securely, with folders, search, versions, permissions and digital approvals.
You need it if: important files live on one person’s laptop, or finding a contract takes an afternoon.
How to choose
Don’t start with the acronym. Start with the problem:
| Your biggest problem | Start with |
|---|---|
| Losing customers and follow-ups | CRM |
| Departments that don’t share data | ERP |
| Running a growing SME from one screen | BOS |
| Payroll and staff records | HRM |
| Slow approvals and paper forms | BPM |
| Lost or scattered documents | DMS |
Many organisations need two or three of these working together. The good news is that a well-designed system can start with one module and add others as you grow, without starting again.
